Payroll Clerk

The Payroll Clerk assists and coordinates the daily operations and activities of the payroll staff. This position will oversee employee payroll accounting, transactions and reporting activities. In addition to these and other duties assigned by the Payroll Manager, Controller and VP of Finance, this position will assist in payroll calculations, deductions, insurance coverage, wage garnishments, tax filings and child support.

Job Description:

The Payroll Clerk will have the following responsibilities:

  • Maintains confidentiality of sensitive or private company, project and personnel information at all time.
  • Safeguards all corporate assets and maintains proper internal controls.
  • Creates payroll and personnel folders as necessary.
  • Record payroll data in software system and verify all amounts prior to check run.
  • Record employee tax status as needed as well as information about withholding.
  • Initiate Direct Deposit.
  • Change employee banking records when necessary for accurate payment processing.
  • Record employee payroll questions or concerns and communicate them to PR Supervisor or HR.
  • File documents in the correct date order for all employees.
  • Ensure accurate preparation of timesheets for weekly data entry, including pay rates, time off & tax information, etc.
  • Manage timecard entry portal. Train end-users as needed.
  • Provide information for Certified Payroll reporting – including OCIP projects.
  • Prepares additional paychecks, corrections, or re-issuance as necessary.
  • Weekly Timesheet copies made as requested.
  • Ensures proper documentation for payrolls and maintains payroll reports as required by law.

Desired Skills & Experience:

  • Required – High School Diploma or equivalent experience.
  • Preferred – Associates Degree in Accounting or related field or Fundamental Payroll Certification or Certified Payroll Professional. Proficient with Microsoft Outlook, Excel, & Word.
  • Experienced in Construction (Union Reporting and Certified Payroll).
  • Experience required – One (1) year experience in an office environment; Accounting/Payroll experience is a plus; or fast-paced office environment with responsibilities for payroll processing.
